Invoices, deposits and credit notes

How invoices are made, issuing a draft, why an issued invoice can't be edited, and correcting one with a credit note.

Dentz makes two kinds of invoice. A deposit invoice is raised when a customer approves, if you ask for a deposit. A final invoice is raised when a job is closed, and takes off any deposit already invoiced for the same quote.

Finding invoices

Invoices has five views: All, Owing (every open invoice, oldest first), Overdue, Drafts and Paid. Search by number or customer.

DraftNot sent. Can be issued or voided.
IssuedNumbered and sent to the customer.
Part paidSome money in, a balance left.
PaidSettled.
VoidA draft that was cancelled. Its number is never used.

Issuing a draft

Open the draft, check it, and press Issue & email. It gets its number and the customer gets a link to view, pay or save it as a PDF. Void cancels a draft without sending anything.

Correcting an issued invoice

Issued invoices can't be changed — that's the law for tax invoices, and it keeps your books honest. Open the invoice, expand Issue a credit note, enter the amount including VAT and a reason ("panel re-done at no charge"), and press Issue credit note. The balance drops by that amount.
